Batch Scheduling

The batch scheduling tool allows you to drag and drop jobs straight onto the scheduler!



  1. Open the "Batch" tool in the top right corner of the Scheduler
  2. Select the "Action to Create"
  3. Filter jobs for Scheduling by
    1. Do Now Actions
    2. Statuses
  4. Drag and drop a single or multiple jobs onto the scheduler
  5. Refresh the list
  6. In the case of Do Now Actions, "GoTo" the job to complete the Action
  7. Access the jobs by right clicking a scheduled action and clicking "Go to Parent"

Open the "Batch" tool in the top right corner of the Scheduler

Access the Batch Scheduling tool by clicking the "Batch" button in the top right corner of the Scheduler tab.

How do I set which columns appear?
The date columns can be checked to be visible or hidden.
The city, state, and zip columns are always visible.

Select the "Action to Create"

Select which "Action to Create." Make sure the action corresponds to the correct Schedule Name and the Scheduled users. In this example, we want to schedule "Installs" on our "Template & Install" schedule for installers, "Jose & Adam."

Filter which jobs to schedule

There are 2 methods to determine which jobs you will schedule.
  1. Do Now Actions - schedule jobs with an uncompleted action like "Schedule Template/Install/Callback"
  2. Statuses - schedule jobs that have 1 completed status and 1 unscheduled action, for example, all jobs that have been "Accepted" but do not yet have a "Template" date scheduled. 
When you filter the job list "By 'Do Now' Actions" and select a "'Do Now' Action:" ActionFlow pulls the jobs with that uncompleted action.
Idea
Another way to reference this list would be to select "*" as the User in the Do Now tool and select the action. The * user pulls actions from all users so both lists are showing all the selected uncompleted actions in your shop.

Warning
Make sure you have the correct Action to Create selected for the corresponding Do Now Action. For example, you may accidentally place "template" actions on the installers if you are looking at the "Schedule Install" Do Now actions but have the "Template" action selected.

The other option is to schedule based on Statuses - for example, if a job is "Fabricated" but does not yet have an "Install" scheduled.

Drag and drop jobs onto the Scheduler

To place a job on the scheduler, select one or more jobs, then left click and drag to move the job(s) to the desired timeslot and then release your mouse to drop the job(s).
Notes
Select multiple jobs by holding Ctrl or Shift - Ctrl lets you select any set of jobs one a time while Shift selects consecutive jobs by clicking the first and last of the set.

Refresh the List

After the jobs are scheduled, the corresponding date column will be filled after hitting refresh. You can hide the date columns that are not relevant to the current action you are scheduling. For example, when scheduling "Installs" or other final site visits, you can hide all but the "Target" date column.

Once the job is on the scheduler, hit the refresh button by "Filter Records for Scheduling" and the date will appear in the corresponding column. Then click the "Go to" button to access that job's Do Now list.

Complete the Do Now Action(s)

After completing the "Do Now Action," return to the Batch tool and refresh the list and the job will drop off.

If you are scheduling by statuses, once you have scheduled the job and hit refresh, the job will drop off the list.

Access the Job

If you want to access that job, right click on the scheduled action and click "Go to Parent"
