Link a Default Decision for an Action to a Data Field

This feature links a data field to an action's default decision so you can set the same decision for actions that repeat in your process.

You may have an action that shows up multiple times in your process. In some cases, the decision will depend on what's happening during the job and in other cases, the decision may need to be the same throughout the process. This feature is designed to reduce additional work and the chance you may accidentally select a different decision. 

For example, you may have an action that confirms the type of Tearout material. In most cases, once you know the Tearout material, it wouldn't change throughout the job. But you still want your team to confirm throughout the process to ensure a smooth install and ensure nothing has changed. 

In this example, after the Job is approved, the project manager is supposed to confirm the Tearout Material, "Set Tearout Material." The options are stored in the Decision of this action - Tile, Laminate, Stone, No Tearout.

 

For this feature to work, store the Decision in a job field. In this example, there is a job field called, "Tearout Material." Once the "Set Tearout Material" action is completed, Tearout Material is set to "Tile."

This feature can work with customer and account/dealer/partner fields and processes in addition to job fields and processes.

 

After the template has been scheduled, the project manager has to confirm the Tearout Material. In this case, the action pulls the information from the "Tearout Material" field. 

Setup

To setup this feature

1. Go the "Configurations" tab in the "Administration" tab. 

2. Set up a field to hold the key data or find the existing field you want to link to the action.

3. Then identify the "BaseFieldName."

4. Note the "Values for Dropdown Box" that are on the right side of the page.

In this example, "CustomText1" is the "BaseFieldName" for the "Tearout Material" job field

5. Find or create the action in the Process. 

6. In the "Action Details" section in the bottom right, set the "Source for Default Decision" as the BaseFieldName. 

 

In this example, "Confirm Tearout Material" is created after the "Schedule Install" action is completed. We set the default decision source to "CustomText1"

 

7. Match the Decisions for the Action to the Dropdown Values for the field in the Configurations tab.

 

In this example, the "Confirm Tearout Material" has already been created with its Decisions. When we find the initial action, we can see the Decisions are - Tile, Laminate, Stone, No Tearout, which match the dropdown values for the "Tearout Material" job field. 

8. Confirm the action is setting the "Decision" to the field's dropdown value.

"Confirm Tearout Material" is created after the Schedule Install action is completed. It pulls in the "Tile" data value stored in the "Tearout Material" job field.
